ERP software built around how your company works

Sales, inventory, HR and e-invoicing in one system that follows your own processes and is integrated with ZATCA.

  • Sales and inventory
  • HR and invoicing
  • ZATCA integration

What is an ERP, and what does it fix?

An ERP puts a company’s operations into one database: a sale reduces stock, low stock alerts purchasing, the invoice comes out in the format ZATCA requires, and a manager sees all of it on one screen. The problem it solves is rarely a missing app; it is entering the same thing several times: the same order typed into the sales sheet, then the warehouse log, then the invoicing tool, then the month-end report.

Every extra entry point is a place for mistakes and delays. With the data in one place, everyday questions become easy: how much did each branch sell this week? Which items run out before the next shipment lands? Which staff still hold company assets?

  1. Customer order
  2. Compliant invoice
  3. Stock reduced
  4. Purchasing alerted
  5. Manager dashboard

Signs your company needs an ERP

  • The month-end report takes days because its numbers come from several spreadsheets.
  • Stock in the system doesn’t match the warehouse, and nobody knows when the gap started.
  • One person knows “how things work”, and the work stops when they’re away.
  • Customers ask about their orders and your team checks several places before answering.
  • You add a branch or a warehouse and find the spreadsheets no longer cope.

If two or more of these sound familiar, the problem is usually scattered data, not your people. And the answer isn’t always a new system: sometimes connecting what you have is enough.

Off-the-shelf, or built around how you work?An honest answer: plenty of companies are fine with a ready-made product. Here is when that holds and when it doesn’t.

OptionA good fit whenWatch out for
Cloud accounting software You run a standard trading business and need invoices, stock and standard reports. You adapt to its way of working; customisation is limited to what it allows.
A configurable ready-made ERP You have several departments and can follow its processes for most things. Heavy customisation needs developers, and each upgrade can touch what you customised.
A system built around how you work
What we build
Your processes are unusual (special pricing, production stages, complex approvals), or you tried off-the-shelf and it didn’t fit. It takes time to build and needs a precise written scope from the start.
Connect what you have instead
What we build
Your systems work well but don’t talk to each other. Sometimes integrations and reports are enough, not a new system.

Buy off the shelf if you have few users, your processes look like most companies’ in your sector, and the product supports ZATCA Phase 2 with an Arabic interface. Building would cost you more and add nothing, and we’ll tell you so on the discovery call.

Build if the way you work is itself your edge over competitors, your team spends time every day working around the software’s limits, or you want to own the data and the system and host it where you like without per-user fees.

E-invoicing and ZATCA integration inside the system

Any invoicing system in Saudi Arabia now has to handle e-invoicing. Phase 1 (Generation) has applied since 4 December 2021; Phase 2 (Integration) began on 1 January 2023 in waves, and ZATCA notifies each taxpayer of its wave at least six months ahead1. In Phase 2 the solution must be integrated with ZATCA’s systems2.

Your company may not be waiting for a notice at all: the latest wave on ZATCA’s page when we read it was wave 25, for annual revenues subject to VAT above SAR 187,500, with an integration deadline of 1 February 20271. If your company has already been notified or its deadline has passed, we put the FATOORA integration at the start of the plan, not the end.

So we build invoicing in from day one: tax and simplified invoices carry the data Phase 2 requires, and the FATOORA integration is switched on before your wave. The technical detail of clearance, reporting and stamping is on our ZATCA integration page.

What drives the cost of an ERP?We don’t put a fixed price on this page: two systems with the same name can differ a lot in the work involved.

  • The number of modules and what each must do: one warehouse is a different job from several branches with transfers between them.
  • How unusual your processes are: the further from standard, the more work, and that is exactly what justifies building.
  • Integrations: FATOORA, your online store, point of sale, the bank, WhatsApp.
  • Data migration from the current system and cleaning it: duplicate items, customers under several names, opening balances.
  • Permissions and reports: who sees what, who approves what, and which dashboards each manager needs.
  • Hosting and changes after launch: you buy the hosting and we set it up; changes after launch are agreed with you and priced by their size.

After the discovery call we send a written scope listing the modules and phases, with a quote and a timeline for each phase. No phase starts until you approve it.

How we build it

  1. Discovery: we walk through a full working day with you, from order to payment, and write down where data is entered twice and where time goes.
  2. A written scope: modules, permissions, reports and integrations, split into phases, each with a result you can see and use.
  3. Phase one is usually built around the process that hurts most, and goes to a small team before everyone.
  4. We migrate and clean the data with you, and run old and new side by side for a short time until you trust the numbers.
  5. We finish the remaining phases and train the team; after launch, we make the changes you need under a clear agreement and price.

Where is your company’s data kept?

The system holds your customers, staff and prices: the most valuable data you have. It runs on hosting you own, which can be inside the Kingdom, and we set it up for you. The system and the data are yours, and you can export the data whenever you want. If any part needs a service abroad, sending personal data outside Saudi Arabia is governed by Article 29 of the Personal Data Protection Law, which among other conditions limits it to the minimum personal data needed4; SDAIA’s transfer regulation sets out the detail, including a risk assessment in certain cases3.

Questions people ask

There isn’t one best system for everyone. The right one depends on your number of users, how unusual your processes are, ZATCA Phase 2 support, an Arabic interface, where the data is kept, and what it would cost to leave later.

Let’s build the system your business runs on.

Pull the card or tap it, and tell us what you need in under a minute.

  1. We read your request and book a short discovery call.
  2. You get a written scope, a clear quote and a timeline.
  3. Phase one starts only after you approve.
